Guide to work remotely with Bimsync, the openBIM collaboration platform of Catenda

1. Use projects to create a virtual office in Bimsync

Bimsync works in " projects " – special rooms for everyone involved in a building project. Rather than working together in the same place, "Projects" allows everyone to keep track of the latest files and decisions and stay up to date, so your team is naturally coordinated from anywhere. In your project room, the information (models, documents, questions) is centralized and easily accessible and no longer scattered over several e-mail strings.

First you need to connect to your Bimsync account. After that you have to click on "New Project" in the upper right corner as shown in the picture below.

You can also use the members icon to invite an unlimited number of people to a project for free, regardless of the size of your project, isn't that cool? Collaboration is part of the Bimsync DNA, for us it is important that you and your team can get your job done, whether you run a small architectural firm or belong to a very large construction company, without being limited by the number of users.

 

Control of work processes and access rights from anywhere

If you are the admin of the project, you can assign access rights to your team members. Bimsync gives you control over various settings and ensures that the right people have access to the right information. It is always possible to change the authorization settings at any time from any device. Under " Settings " you can choose who can invite new members to a certain project and you retain total control over the number of shareholders.

As the administrator, you also decide which member can have access to the issue board or to the documents by defining an access level (no access, write, read or full access). This function is very useful when you are dealing with external contractors and want to restrict access to certain documents or models.

 

2. Use the issue board for better coordination with your team

Good coordination is the key to success in project management, but this is even more true in the AEC industry, where multidisciplinary teams are involved in a project. Bimsync is a collaborative platform that centralizes all tasks, called "issues" of your project, in the issue board. With its issue board, Bimsync allows teams to create issues, share and set deadlines, assign them to team members and receive notifications when a change has been made; this significantly improves coordination during the design and construction phase.

Issues can be created from your laptop when working remotely and assigned to the teams who work on site and review the issues on their pumice-sync mobile app. Our platform offers a variety of workflows to resolve problems faster and reduce costly errors.

When you log into your project in Bimsync, you have an instant overview of all issues created, completed, and recently updated, as shown in the image below.

 

 

 

 

 

 

 

 

 

Creating a new expense can be done from the Expense screen or from the Dashboard Expense Viewer. To create a new issue, click the "New Issue" button in the top right of the screen. This will open the New Issue window. When adding a new edition, here are the fields you need to fill in:

  1. 1. Enter the title / subject and use the comments text box to provide further details.

Fill in the drop-down menus:

a. Issue Board : There will be several lists of Issue Boards to choose from, which will vary from project to project.

b. Status : You can choose between open or closed. Usually you choose Open when creating a new edition.

c. Type : Here you select the type of output you are creating. The types you can choose from are Error, Warning, Info, and Unknown.

d. Requested by : This is where you normally set yourself up as an applicant, but you can also choose any member here.

e. Assigned To : Here you can assign the output to a specific member or team. You can also choose member @ team if you know who will be responsible for it.

f. Due Date : If you know, set a due date or leave it blank.

G. Milestone : Append it to a milestone or leave the field blank.

If you click on the " Issues " icon in the left menu, you have a correct overview of all the topics contained in a project. Issue Board you will find numerous filters to improve navigation and organize your work optimally. The expenses can be sorted by status, type or due date.

 

Better and faster communication with the BCF (BIM Collaboration Format)

With our collaboration platform, you no longer need to use screenshots and emails! The communication between teams and participants is based on the use of the BIM Collaboration Format (BCF) in Bimsync.

As a reminder, the BCF is a file format that is used in an OpenBIM environment to communicate coordination information. It usually includes problem descriptions, snapshots, comments, authors, creation dates, linked objects, etc. (If you want to learn more about the BCF, we recommend reading this article ). Using BCF will greatly help you streamline your communication flow and avoid losing important information. And how?

Let's take an example and see how the BCF can be used to coordinate planning.

During the design phase, architects can easily answer requests for information from other designers. For example, accessibility regulations can be checked by certification agencies by specifying which element needs to be examined more closely. In this example, Dag, as the certification agency, marks an item in the model and opens a BCF issue assigned to the architect Michael to log a change request. The exact point of view used to determine the problem can be restored, giving the architect a clear context in which to solve the problem.

The two professionals can add comments, related documents, or labels to the problem. When the architect resolves the problem, a new model revision is uploaded to Bimsync and a notification is sent to all parties involved. When the problem is resolved, it can be closed.

3. Organize your work with your team from anywhere:

Once you've landed on a project, you have access to the Bimsync Dashboard and can organize your work in a variety of ways right from your laptop.

A. Milestones

n Bimsync you have a lot of great features. One of the most useful is without a doubt: milestones .

The "Milestones" function allows you to set a due date for the delivery of your project and the different phases. You can split your project into different phases such as concept, design, construction, maintenance, etc. This way, you can track your team's progress and make sure you are on track to deliver your project on time.

To access the various milestones of your project in Bimsync, click the "Milestones" icon in the left menu and you will get a quick overview of the completed and outstanding tasks. You will also see the number of tasks created and completed for each milestone, which gives you a rough estimate of the work remaining.

You can create a new milestone and add it to your project by clicking the "New Milestone" button in the right corner of the screen (as shown in the image below).

B. Labels

One of the easiest ways for pumice sync users to add color, texture, and clarity to their dashboards is by adding labels. By using labels, you not only get an additional level of information at a glance, but you also get more robust filter and search functions right at your fingertips. You can use labels in many different ways: to prioritize tasks, organize by team, by document type, or to segment the different phases of your project. There are endless combinations in pumice sync, you just have to customize it your way and find your perfect solution!

Here is an example of how you can use labels in Bimsync for your project. In this case we have assigned labels to the phases, document types, levels and locations.

 

C. Status of the document

As a common data environment, defined by the ISO 19650 standard, Bimsync offers you the option of storing all the information you need during the entire life cycle of your project in one place and assigning a status to your documents. The document status system allows you to share updates and relevant information with your team to quickly assess the progress of your project. This function gives you a better overview of the situation and complete control over your work processes.

By default, Bimsync has three statuses: in progress, delivered, published. You can create the status "archived" and set this status for documents that you no longer need. Here you can find the definitions for the different statuses.

This means that information is in this status when the commissioned party develops the draft. Therefore, no other member of the project team can access or see this information.

Shared : The information has been approved for sharing with other appropriate task teams and teams to be delivered to the appointing party.

Published : When a document is in the "published" status, it means that the information is authorized for use in a more detailed design, construction, or facility management.

Archived : When the information has been processed, set the archived status in Bimsync.

4. Enhance your home experience with our integrations
